Comfy Access Groups

Access to buildings and locations in the Comfy app is managed through access groups. These groups are often created for each building, but it is also possible to configure a portfolio-wide group that can be used across all buildings. Access groups are managed in both the Basic Console and Advanced Console.

Building-level access groups

Building-level access groups are created in the Basic Console and are unique to each building.

Portfolio-enabled access groups

Portfolio-enabled access groups can be used in any buildings within the portfolio.

  • Depending on the local needs, access groups may include more than one user group.
  • When creating a new building, at least one access group should be created to use as a default. Your Delivery team typically creates three — one for rooms, desks, and non-bookable features — to help manage assigning permissions by feature and calendar association.
  • Access groups can be added or edited at any time.

Access groups and features

Access groups connect user groups to features. By adding a user group to an access group, users in the user group are granted permission to see and use those assigned locations and features in the app. Access groups can be assigned to these Comfy features:

  • Buildings
  • Light and air zones
  • Homepage cards
  • Rooms
  • Desks
  • Amenities
  • Calendar providers

View Portfolio-enabled Access Groups

Portfolio-enabled access groups can be used in any buildings within the portfolio. Learn more about Comfy Access Groups.

ACCESS: Console administrators with Global Admin or Super Client Admin permissions.

  1. In Basic Console, click Access.
  2. On the Customer Filters, select the appropriate Portfolio and Building.
  3. Click Update. The list of Access Groups displays.

    The Portfolio-enabled column indicates TRUE or FALSE if the portfolio-enabled box is checked in the Flexible Spaces console for the Building Access Group. The access group can be used for any building in the portfolio when set to TRUE.

Create Building-level Access Groups

ACCESS: Console administrators with Global Admin or Super Client Admin permissions.

  1. In Basic Console, click Access.
  2. On the Customer Filters, select the appropriate Portfolio and Building.
  3. Click Update.
  4. Click + Add Access Group.
  5. Enter a Name for the Access group.
    • Best practice: Establish a consistent naming format that helps everyone understand who is in the group or what it is for. This name should describe a common characteristic of the group, such as business function, or what types of things they need access to, such as conference rooms.
    • Example: if creating an access group that should grant access to managers, the name could be Managers Only. Or, if you are creating an access Group that should give access to desk booking for just Accountants in Building 5, the access group name could be Accountants Building 5.
  6. In the Select one or more User Groups dropdown, locate the appropriate User Groups.
    • You can enter text in the field to search and narrow the results.
  7. Click the checkbox for each of the desired User Groups.
    • When you add multiple User Groups to a building: To see the building in the app, users must be a member of one of the associated access groups; they do not need to be a member of all of them.
  8. Click Save access group.

Assigning to Homepage Cards and Bookable Zones

ACCESS: Console administrators with Global Admin or Super Client Admin permissions.
Once the access groups have been set up, they can be used to ensure users have access to the appropriate features and locations in the Comfy App. Console administrators can apply Access Groups to Homepage Cards and Bookable Zones.

Assign access groups to amenities, rooms, and desks

ACCESS: Console administrators with Global Admin, Super Client Admin, or Client Admin permissions.


In the Advanced Console, administrators can modify access groups on amenities, rooms, and desks. Learn more assigning access groups to amenities, rooms, and desks:
